Site Monitoring
Monitoring site works is essential to the efficient progress of the project, regular site meetings held with contractors, specialist suppliers, and our clients include the following key areas:
Review of programme against progress on site, contractor updates
Monitoring quality of materials and workmanship
Discussion and actions for the next working week
Arrangements with specialist suppliers, co-ordinating surveys, drawing checks and installation dates
Responding to requests for information, and actioning accordingly with the Design Team
Problem-solving
Site notes distributed to Contractors and Clients after meetings
Proactive management of actions on a day-to-day basis
Contract Administration
Contract Administration refers to the management of the contract between our client and the building contractor. The key tasks that we perform within this role follow those set out in the RICS guidance and include:
Chairing meetings
Inspecting works (which we carry out in conjunction with weekly site meetings through project monitoring and reviewing works against an agreed schedule and project drawings)
Giving instructions, including work variation or change orders (these changes being priced, checked and client approved before instruction to proceed with works is given to the contractor)
Authorising interim payments to the contractor (these dates agreed at pre-construction and contractually agreed).
Certifying the date of Practical Completion
Settling the adjusted contract sum (final account).
Build Programme
Agreeing on the build programme is a pre-construction workflow, the programme is used in the preparation of the Building Contract.
During the construction phase we carry out the following key functions with the build programme:
Monitor the build programme, and proactively work with Contractors to work the plan.
Review progress at weekly site meetings.
Update supplier lead times, monitoring any impact of design, or supply changes that may affect the project critical path & completion date.
Review any requests for extensions of time (extending the completion date) against the critical path, discussion, decision making and administering formally.
Updating the programme where required and reporting on change events.
Compliance
During the build phase there are various routine inspections required, as well as ongoing monitoring for compliance. Our work includes:
Co-ordinating Building Control site inspections at agreed stages, reviewing the report and following up actions to facilitate a simplified and efficient final inspection and certification.
Co-ordinating Structural Warranty providers, similarly and dovetailed to Building Control for mutual sign off.
Structural movement monitoring, often required as part of a Party Wall Award, co-ordinating and reviewing reports.
Construction Transport Management Plan, ensuring logistics, working hours and noise restrictions are adheared to
Health and Safety compliance, ensuring that our Clients responsibilities are discharged and that at build phase the building contractors are maintaining records.
Managing Agents - acting as point of contact for our client, often carried through from pre-construction we’ll maintain the relationship and ensure builders are following the conditions set.
Planning Conditions - ensuring that pre-agreed construction method statements are followed, checked and signed off as required.
Completion & Handover
There are contractual responsibilities for the building contractor in reaching practical completion. The key elements to our work nearing completion include:
Preparing a completion and snagging list.
Ensuring compliance matters are up to date, finalising these ahead of handover.
Overseeing commissioning during the final stage of the build phase.
Following up with contractors on the production of the building operation and maintenance documents.
Agree on the final financial account.
Client & Contractor handover.
Coordinating any post-move in attendance for maintenance,

Pre-Construction
Planning persmission had been granted when our client appointed us. We agreed a Pre-Construction programme to advance design introducing and co-ordinating a design team, specialists surveys, specialist design and fit packages. We introduced contractors through a tender process and agreed a build contract with a Principal Contractor for ground works, and the build. Specialist packages included Oak frame, timber trusses, air source heat pumps, glazing, wood flooring, kitchen and utility joinery.

Construction
Steele-Perkins project managed the build, co-ordinating the programme with specialist suppliers, liaising with the design team, managing contractors. We carried out Contract Administration, Building Control stage checks and final sign off, Structural Warranty management and sign off, project handover.
